Alpha access (founding cohort)
During the MatCommunity alpha, access is granted to a limited number of approved founding academies. This section governs that alpha relationship and, where it conflicts with the sections below, controls for the duration of the alpha.
- Free during the alpha. You will not be charged a subscription fee while your academy is in the alpha. Founding academies lock their tier’s rate at 25% off for life when paid billing begins.
- Card on file is for verification. We may ask you to save a payment method when you activate. This authorizes no charge during the alpha — it verifies you operate a real academy and pre-loads your founding rate. We will email you before any charge is ever made, with the chance to cancel first.
- Operate your academy — don’t clone the product. Alpha access is provided so you can run your gym. It is not for competitive analysis, benchmarking, feature replication, or building or assisting a competing product or service. This restates and reinforces the acceptable-use limits in Section 4; breach is grounds for immediate termination under Section 14.
- Your data stays yours. The data-ownership and export rights in Section 5 apply in full during the alpha.
- Things will change. The alpha is pre-GA software; features may change and occasional rough edges are expected. We ship fixes fast and you have a direct line to the founder.
1. Acceptance
By creating an account, clicking “I agree,” or using the service, you agree to this Customer Agreement and the linked Privacy Policy and Refund Policy. If you’re signing up on behalf of a gym, dojo, academy, or other organization, you represent that you have authority to bind that organization. If you do not, do not click the button.
2. The service
MatCommunity is a software-as-a-service platform for jiu-jitsu academies. It includes:
- the admin console at admin.matcommunity.com;
- the member-facing iOS and Android mobile applications;
- the public site at matcommunity.com;
- payment routing for your members and visiting drop-in practitioners via Stripe Connect Express;
- optional Practitioner Pro in-app subscription via RevenueCat (Apple App Store / Google Play); and
- related APIs, integrations, and content.
We reserve the right to change, add, or remove features. We will not remove a feature that you are actively using under a paid plan without giving you reasonable advance notice and an opportunity to export affected data.
3. Your account
One owner account per gym. The owner can grant role-based access to additional coaches, admins, and staff via the role-based access control settings (Owner, Admin, Coach, Front Desk, Member). You are responsible for keeping credentials secure, for activity under your accounts, and for promptly notifying us at [email protected] if you suspect unauthorized access.
4. Acceptable use
You agree not to:
- harass, threaten, defame, or stalk anyone using the service;
- upload illegal content or content you don’t have rights to;
- scrape, crawl, or extract data from the service in bulk except via the documented export tools we provide;
- resell, sublicense, or rebrand the service to another business (you are licensed to run your gym, not to operate a competing platform);
- interfere with the service’s security, integrity, or availability (no penetration testing without prior written authorization — see our Security page for responsible disclosure);
- use the service to operate as a sub-platform or white-label reseller for another gym-management SaaS company.
Copyright + uploaded media. You may only upload technique videos, photos, and other media that you own or have explicit permission to use. If you believe content on the platform infringes your copyright, file a notice under our DMCA notice-and-takedown procedure. We terminate accounts of repeat infringers.
5. Member data
You own your member roster, attendance history, belt records, payment history, and the rest of your operational data. We claim no ownership interest. You grant MatCommunity a limited, non-exclusive, non-transferable license to process this data only to provide and improve the service, support you, and meet legal obligations. We will never sell your data, rent it, or use it for third-party advertising targeting. The full data treatment is described in our Privacy Policy.
6. Payment
Subscription fees are charged according to your selected tier on the pricing page — Solo Mat (free), Academy, Black Belt, Affiliate, or Network. Paid tiers are billed via Stripe in advance, monthly or annually as selected.
Stripe Connect. Payments from your members go to your gym’s own Stripe account, not ours. We facilitate the integration; the funds and the merchant-of-record obligations sit with you. Your MatCommunity subscription is billed separately from us to you.
Taxes are your responsibility unless explicitly stated. Late payments may trigger account suspension after a 14-day cure period (see Section 14).
7. Auto-renewal
Monthly plans auto-renew at the end of each billing cycle. Annual plans auto-renew 30 days before the period ends; we’ll email a renewal reminder at least 30 days prior so you can cancel or change tier first. To cancel auto-renewal, open Settings → Billing → Cancel. You can also email [email protected] and we’ll handle it within one business day.
8. Cancellation
You can cancel at any time from Settings. Cancellation is effective at the end of the current billing period — you keep access for what you’ve already paid for. Monthly plans receive no partial-month refund. Annual plans receive a pro-rated refund if cancelled within the first 30 days of the most recent renewal, per our Refund Policy.
9. Disclaimers
The service is provided “as is” and “as available.” We make no warranty that the service will be uninterrupted or error-free, and no guarantee about your gym’s business outcomes — enrollment, retention, revenue, or anything else. That’s on you and your coaches. Mat injuries, training incidents, and any physical harm that occurs at your academy are one-hundred-percent your responsibility; MatCommunity does not operate, supervise, or insure any physical training facility.
10. Limitation of liability
To the maximum extent permitted by law, our total aggregate liability to you in connection with the service is capped at the total fees you paid to MatCommunity in the twelve months preceding the event giving rise to the claim. We are not liable for indirect, consequential, incidental, special, exemplary, or punitive damages; lost profits; lost revenue; loss of goodwill; or loss of data (beyond restoration from our most recent backup). Some jurisdictions don’t allow these limitations — to the extent they apply to you, they apply only to the maximum extent permitted by local law.
11. Indemnification
You agree to defend, indemnify, and hold harmless MatCommunity, its officers, employees, and contractors against claims, damages, costs, and reasonable attorneys’ fees arising from (a) your gym’s operations, (b) claims brought by your members or staff against MatCommunity that arise from your conduct or your use of the service, (c) your content, and (d) your breach of this agreement.
12. Dispute resolution
Governing law: Arizona law, excluding its conflict-of-laws rules.
Informal resolution first. Before filing any formal dispute, the parties agree to a good-faith 60-day informal resolution period — email [email protected] with a written description of the issue; we’ll respond within ten business days and try to resolve it.
Arbitration. If informal resolution fails, disputes are resolved by binding arbitration through the American Arbitration Association under its Commercial Arbitration Rules. Venue: Maricopa County, Arizona. The arbitrator’s decision is final and may be entered as a judgment by any court of competent jurisdiction.
Small claims preserved. Nothing in this section prevents either party from bringing an individual claim in small-claims court in Maricopa County, Arizona, where jurisdiction permits.
13. Modifications
We may modify this agreement from time to time. For material changes, we’ll give you at least 30 days’ notice — by email to the account owner and by a banner in the admin console. Continued use of the service after the effective date constitutes acceptance. If you don’t accept, you can cancel under Section 8.
14. Termination
We may suspend or terminate your account for material breach (including non-payment) with a 14-day cure period after written notice. We may suspend immediately, without notice, if we reasonably believe your use threatens the integrity, security, or legality of the service. On termination, you have a 90-day data-export grace period, after which we permanently delete your data per the Privacy Policy.
15. Miscellaneous
Entire agreement. This document plus the Privacy Policy, Refund Policy, and any signed order forms or DPAs constitute the entire agreement between you and MatCommunity regarding the service.
Severability. If any provision is held unenforceable, the rest stays in effect.
No waiver. Failure to enforce any right is not a waiver.
Assignment. You may not assign this agreement without our written consent. We may assign in connection with a merger, acquisition, or sale of substantially all assets; we’ll notify you if that happens.
Notices. Notices to MatCommunity go to [email protected]. Notices to you go to the email on the account.
